Regarding the personal information protection policy of the Shiseido Labor Union in response to the enforcement of the Act on the Protection of Personal Information

The Shiseido Labor Union acquires and uses the personal information of its members to facilitate the union’s activities aimed at improving wages and working conditions and creating worker-friendly workplaces. We declare that we will handle personal information as follows to protect our members’ personal information and fulfill our social responsibility in doing so.

In order to prevent the leakage, loss, falsification, etc., of the acquired personal information, we will handle it appropriately, complying with the Act on the Protection of Personal Information and other laws and regulations and following the guidelines of relevant ministries and agencies and social rules.

We will use the acquired personal information for the following purposes.

  1. To provide basic data for labor-management negotiations and discussions concerning wages of and working conditions for our members
  2. To inform our members about campaign policies and activity plans the union has decided at the union organizations (the Convention, the Central Council, and the Central Executive Committee) and to request our members to participate in various actions
  3. To notify, communicate, and present information on various seminars the union organizes
  4. To respond smoothly and appropriately as the union in the event of a disaster, company emergency, or in case of accidents or physical or mental health problems of our members and their family members
  5. To assist the practical operations of the labor union mutual aid projects when our members and their family members use such projects

We will not provide personal information to third parties unless we have obtained the member’s prior consent. However, we may provide personal information to third parties without the member’s consent in the following cases.

  1. When it is required by laws and regulations
  2. When it is necessary to protect a person’s life, health, or property and it is difficult to obtain the member’s consent
  3. When it is necessary to cooperate with the national government or local governments, etc., in conducting their official affairs and obtaining the member’s consent is likely to hinder the execution of such affairs

In order to facilitate our operations, we may outsource a part of our operations and provide personal information to the extent it is necessary. In such cases, we will properly supervise the company to which the work is outsourced, including entering into a contract with them regarding the handling of such personal information.

We will conduct educational and awareness-raising activities for union officers on protecting personal information, assign the central general secretary as the person responsible for managing personal information, and strive to appropriately manage personal information.

If a union member wishes to inquire about, correct, or otherwise access their personal information, we will respond promptly within an appropriate time frame and scope.
